Our successful financial planning firm in Freeland, MI is seeking a Receptionist to ensure smooth day-to-day operations while providing superior customer service to the firm's prospects, clients and team members.
The ideal candidate will have at least 2 years of office/administrative experience and be able to perform general tasks such as handling calls, calendar and database management and welcoming clients to the office.
This team member will be instrumental in ensuring clients have the most memorable, positive experience.
JOB DUTIES FREQUENCY JOB DUTIES DAILY 1.
Answer the phones in a friendly, warm manner 2.
Record notes from every client conversation in the database 3.
Maintain an organized, compliant, and efficient filing system 4.
Sort and distribute all incoming mail 5.
Assist with copying or scanning as requested by the team 6.
Pull appropriate client files when requested by the team 7.
Assist our transfer and service specialist with fax confirmations & follow-up phone calls to appropriate companies 8.
Mail all outgoing correspondence 9.
Mail follow-up letters to clients after each appointment 10.
Greet incoming clients in a professional manner 11.
Have beverages and cookies in-stock for clients 12.
Call client's day before appointment and remind them of time and location 13.
Run errands as necessary 14.
Manage advisor's calendar regarding appointment rescheduling 15.
Email advisor a status at the end of each day WEEKLY 1.
Assist with the weekly staff meeting and take meeting minutes 2.
Distribute notes to team following meeting with imperative tasks assigned 3.
Assist marketing coordinator with any outgoing mail 4.
Update office calendar with advisor's travel information 5.
Create travel itineraries for upcoming travel 6.
Order and manage office supplies MONTHLY 1.
Assist marketing coordinator with client touch marketing program QUARTERLY 1.
Assist with the mailing of client update reports and mailings AS NEEDED 1.
Schedule and manage travel plans 2.
Make reservations for client lunches or meetings Knowledge, Skills & Abilities Proficient phone skills Excellent Customer experience skills Experience working in a fast-paced environment Ability to prioritize and work with a demanding team Attention to detail Working knowledge of computers and software Ability to multi-task Minimum Requirements Bachelor's Degree 2 Years Prior experience working in financial industry preferred, 2 years reception experience accepted.
